Common questions
- Should I charge for diagnostics?
- Yes — it is skilled labor and often the hardest part of the job. Many shops waive it if the customer proceeds with the repair. Show it on the invoice either way so the value is visible.
- How do I bill labor?
- Most shops use a book-time rate: the standard hours for that operation at your shop rate, rather than a stopwatch. It protects the customer from a slow day and you from a difficult bolt.
- What are shop supplies?
- Consumables too small to itemise — cleaners, rags, lubricants, fasteners. A small flat charge or a low percentage of labor is standard, but it should be named rather than hidden.
- Do I need the customer's authorisation?
- Get it in writing before starting, and again for anything beyond the estimate. In many jurisdictions this is a legal requirement, and everywhere it is the difference between a conversation and a dispute.
- What if the repair costs more than the estimate?
- Stop and get authorisation before continuing. In many jurisdictions exceeding an estimate by more than a set percentage without written approval makes the extra unenforceable, and everywhere it turns a routine invoice into a dispute. Record the approval — a text message is enough — and reference it on the invoice.
