How to bill for tutor work

List the session dates

Parents reconcile against their own diary. Dates in the description remove the single most common query and make a missed session obvious to both sides.

Sell blocks, and invoice them up front

A prepaid block of six is better for your income stability and improves attendance — a paid-for session is a session the student turns up to.

State the cancellation policy on the invoice

'Sessions cancelled with less than 24 hours notice are chargeable.' It only holds if it was written down before it was needed.

Should I invoice per session or per block?
Blocks, where the family will accept it. Prepaid blocks of 5-10 sessions cut your admin, stabilise your income and improve attendance. Keep single-session billing available for trials.
How do I handle missed sessions?
With a written policy, applied consistently. 24 hours notice is the usual line. Enforce it politely from the first occurrence, because a policy waived once is a policy gone.
Should I charge for preparation time?
Usually it is built into the session rate rather than billed separately. Bespoke work — a custom revision plan or a set of tailored papers — reasonably goes on its own line.
Do I invoice the parent or the student?
Whoever is paying, named exactly. For under-18s that is the parent or guardian, and the invoice should carry their name, not the student's, or it may not be recognised.
Should I charge more for exam periods?
Many tutors do, and demand genuinely spikes. If you raise rates, tell existing families before the invoice arrives rather than in it — a rate change discovered on an invoice reads as a mistake or an opportunism, and both cost you the client. New students simply pay the current rate.
Do I need to register as self-employed to tutor?
In most countries, yes — once you are paid for tutoring you are trading, whether it is two hours a week or twenty. Registration is usually free and quick, and it is what lets you issue a compliant invoice, claim expenses like materials and travel, and be paid by a school or agency that will not deal with an unregistered individual. Check your own tax authority's threshold, as some allow a small untaxed trading allowance before registration is required.
